Where should I put things like Emergency Contact, or my client’s Occupation?

Use one of the Custom fields with the user-definable fields. Rename to Emergency Contact: You can use these four fields for anything that is important to track for your clients. You also have a Notes area where you can put more detailed information you need to keep for your clients.

Where can I put my client’s Emergency Contact phone number?

For Emergency Phone, click “Maintain” on the menu bar, move over “Types” and select “Phone”. Click New in the Maintain Phone Types screen and add “Emergency”. Click “Save”. You must close Massage Office Pro and restart it, then this new phone type will become available. When the application opens, open the “Client” screen, choose the client you wish to have an emergency number for; click “Edit”. Click the down arrow next to one of the phone number fields and choose the new type “Emergency”. Fill in the phone number field and click “Save”

Is Massage Office Professional 2014 able to use the new ICD-10 codes?

Yes, Massage Office Professional 2014 utilizes the new CMS-1500 (02/12) form. This form is ready to accept ICD-10 codes when needed. You can also export out the CMS-1500 data (in tab-delimited text format) and upload that file electronically.

How can I handle the new ICD-10 codes that have eight characters?

The instruction manual for the CMS-1500 (put out by the NUCC) shows seven (7) characters maximum allowed for that field. This is the official guide to using the 1500 form. What we understand (from the insurance clearinghouse) is that they drop the decimal point when processing claims to the insurance companies. They just disregard any decimals points, so that is the best advice we can give you.

How can I access my User Guide?

There are two ways to access the user guide: (1) Click on the word “Help” from the menu, then choose “MOPro2014 User Guide”, or (2) Click on the Help (book with yellow ? symbol) from the toolbar. If you do not have Acrobat Reader, you will need to install Adobe Acrobat Reader onto your machine, which is included on the Massage Office Professional 2014 CD. Insert the CD to access the menu. Click on the Acrobat Reader menu item and then follow the instructions for installation.

How can I make sure I have the most current updates?

With Massage Office Professional 2014, software updates are available via the internet. On occasion, our programming staff will release updates to the software. To follow are instructions on obtaining these updates. First, it is important that your Massage Office Professional 2014 program be CLOSED during the update process. Next, make sure you are connected to the internet and then try this: 1) Click your Start button, 2) Choose All Programs, 3) Massage Office Professional 2014, and then 4) click on Check for Updates. This should launch the update program and step you through the update wizard. Click Next to continue through the menus and once the update has completed successfully, you should be ready to use Massage Office Professional 2014.

Microsoft Windows Massage Office Professional 2014 runs on Windows XP SP2 (or higher), Windows 2003 Server, Windows Vista, Windows 7, and Windows 8. While the software is a 32-bit program, we seem to work well with 64-bit computers as well. Should you encounter any challenges, please feel welcome to contact our support team directly for help. Apple/Macintosh Only way to use it on your Mac is if you have the capability to run Microsoft Windows-based programs. If you have the necessary equipment, then it should work just fine for you.

How can do I include my company logo on the invoice form?

From the main menu, select File | Utilities | Change Invoice Logo. Next, the Select Picture file for logo window will pop up and you just navigate to the right spot and choose the picture file you want to use. Once you have selected the file, you should see a confirmation message.

What is the recommended way to backup all the information, so that we know everything is secure?

Definitely a question to ask ourselves, because making sure the data is safe should be a priority. Island Software Company recommends that you to backup your database often, preferably to an external hard drive, a USB “flash” drive, CD, or a file folder that is stored in a secure location. The important issue is that the backup is done, and that the file resides somewhere off the main computer where Massage Office Pro is being used. With Massage Office Professional 2014 open… click File, Utilities, then Run a database backup now. A small window will appear, and you will click the Browse button (recommended) to point to the correct drive/folder you wish to save the backup file to. Next, click the Begin Backup button and the backup process will begin.
